Best Choice Limo version 2026-09-01b
This page describes what the ATL GT Renewal portal holds about you, why it holds it, who can see it, and when it is destroyed. It is written for the contractor drivers who use it, not for lawyers.
Who is responsible
- Company
- Best Choice Limo & Shuttle LLC
- Address
- 2000 Manchester St NE, Atlanta, GA 30324
- Phone
- 770-374-1337

What this portal is for
Mainly one thing: preparing the annual ground transportation permit renewal that Best Choice Limo files with Hartsfield-Jackson Atlanta International Airport, so a driver can photograph their documents on their own phone instead of driving to the office with a folder. It carries two smaller jobs as well — signing your contractor agreement, and a Community area where the office posts announcements and drivers use all-driver questions or smaller public and private groups.
What is collected
- About you: your name, date of birth, driver's licence number and issuing state, and — if you give them — your phone number and email address.
- Your Google account: the email address of the Google or Google Workspace account the office approves for you, and an identifier Google supplies for it. It signs you in to the portal, and confirms it is really you signing the contractor agreement. It is used for nothing else, is never sold or transferred to anyone, and is kept for as long as you have an account here. The portal asks Google only for your sign-in identity and email address. It cannot read your mail, contacts, files or calendar.
- About your vehicle: year, make and model, VIN, its stated value, whether it is also used personally, and the airport transponder number if you carry one.
- Photographs you take: your driver's licence front and back, your vehicle registration, your inspection certificate, and any insurance or transponder document the office asks for.
- What happened to each document: when it arrived, an automatic quality score, whether staff approved it, and if it was sent back, the reason given. When staff asks for an expiration check, the portal also keeps the suggested date, confidence scores, provider and model version — not the full text the reader saw.
- Anything you post in Community, with your name and the group it belongs to. An all-driver question or announcement is visible to every signed-in driver. A group message is visible only to active members of that group and office staff.
- Your profile, if you choose to fill it in: a photograph of you, a name you prefer to be called, and a few words about yourself. All three are optional, you can change or delete any of them at any time, and none of it is ever sent to the airport or attached to your permit — office staff are the only people who see it. Your permit stays in your legal name whatever you put here. If you upload a profile photograph, the location data your phone attaches to pictures is stripped out before the photograph is stored.
- A record of what you did here: when you signed in, when you accepted these terms and the contractor agreement, the internet address and a scrambled fingerprint of the browser you used at the moment you accepted, and the actions office staff took on your record.
There is no advertising, no analytics package and no tracking pixel, and nothing is sold or shared for marketing.
When a computer decides something
One thing here is decided by software rather than a person. When you take a photograph, a check runs on it for blur, glare, darkness and size. If it fails, the photo is refused before any member of staff sees it, and you are asked to take it again with the reason why. That check can only refuse a photo — it can never approve one. Every approval is made by a person.
If a photo keeps being refused and you believe it is fine, call the office on 770-374-1337 and staff will take it another way.
For certain documents that print an expiration date, staff may press a button that sends that document image to AWS Textract. It returns a suggested date and confidence scores. The suggestion is shown beside the original image, but it cannot approve, reject or change your record. A named member of staff must read the date and confirm or correct it. If the reader is unsure, ordinary manual review continues. This optional check stays off until Best Choice has verified the AWS account setting that opts out of using submitted content to improve AWS artificial-intelligence services. The portal also refuses to send an image unless the driver who uploaded it accepted this version of the notice.
Who can see it
- Best Choice Limo office staff. Staff access sits behind a separate company sign-in, which the portal verifies again for itself.
- The airport — but only what goes into the permit packet, and only because a person at Best Choice hands it over. This portal never sends anything to the airport by itself. A document you upload is prepared, not submitted.
- Other drivers see all-driver questions and announcements. Group messages are limited to active members: anyone may join a public group; a private group requires an invitation and approval. Group owners manage membership, and the Best Choice office can inspect and moderate every public and private group. Other drivers never see your documents or permit record.
- If the law requires it. Best Choice may have to hand information over in response to a court order, a subpoena, an insurer's claim investigation, or a demand from the airport authority. That is the only circumstance in which it goes anywhere not listed above.
Companies that handle data on our behalf
- Supabase — the database holding the text records.
- DigitalOcean — runs the portal, and stores your photographs in private storage that is not publicly listed or linkable.
- Amazon Web Services (AWS Textract) — processes a document image only when staff explicitly asks for an expiration-date suggestion. The portal keeps only the redacted suggestion and audit details, not AWS's full response. Before AWS receives a real driver document, Best Choice requires and verifies the AWS account setting that opts out of service-improvement use of submitted content and verifies that the uploader accepted the current notice.
- Cloudflare — sits in front of the portal and protects it.
- Google — confirms your identity when you sign the agreement.
- Twilio — sends text messages, when text messaging is switched on.
- A nightly backup on a Best Choice office computer. A copy of the database and of the stored photographs is taken every night, so that a failure at one of the companies above cannot lose your documents. That folder is synced to Apple iCloud, so Apple holds a copy too. Database backups are kept for 30 days and then deleted. When a photograph is purged under the rules below, it is deleted from the backup as well.
Best Choice gives each company only the information needed to provide the service described here. Best Choice does not give them driver information for advertising or marketing.
How long it is kept, and when it is destroyed
The office destroys stored photographs under two rules. A photograph becomes eligible to be destroyed when:
- a newer copy replaces it — if you re-take a document, the older image is no longer needed; or
- you leave the company — the licence images belonging to a driver who has left are destroyed. Documents belonging to a vehicle, such as its registration, stay with the vehicle.
Purging is not automatic and there is no timer. A member of office staff runs it, and every purge is recorded. Once it runs, the photograph is deleted from storage and from the nightly backup, and cannot be recovered.
What remains is the record of the document: which one it was, a code computed from the file that proves what arrived, when it arrived, and whether it was approved.
Everything that is not a photograph is kept indefinitely
Your name, date of birth, licence number, vehicle details, phone, email, Google sign-in identity, Community posts and memberships, expiration suggestions, the record of what you did here, and your signed contractor agreement — including the internet address and browser fingerprint captured when you signed it — are kept as business records with no end date, and are kept after you leave the company. Best Choice keeps them because it must be able to show the airport, an insurer or a court what was filed, by whom, and when.
If you want something removed, ask. Some of it the company may be required to keep.
What you can ask for
Call the office on 770-374-1337 to ask to:
- be told what the portal holds about you;
- have something corrected if it is wrong;
- ask for your photographs to be purged. The office purges by rule — all superseded copies, or all documents of drivers who have left — rather than one photo at a time, so this may mean waiting for the next sweep;
- be given the contractor agreement, or anything on this page, in another format.
If something goes wrong
If Best Choice discovers that this information has been exposed to someone who should not have it, the company will investigate, close the hole, and tell the drivers affected what was exposed and what to do about it, as soon as it reasonably can. No automated system does this — a person will contact you.
Where the information is
The portal database, the stored document photographs and the selected AWS document reader are in United States regions. Some protection and sign-in companies operate global networks and may process limited account or traffic information under their own terms. Best Choice does not intentionally send permit-document images outside the United States.
Who this portal is for
Only contractor drivers working with Best Choice Limo, all of whom are licensed adults. It is not open to the public and is not for use by children.
Security
Documents are stored privately and are reachable only through short-lived signed links that expire in minutes. Your sign-in link works once. Staff pages require a separate company sign-in that the portal verifies itself rather than trusting the network. Hidden information inside the photo file — such as where and when it was taken — is removed before it is stored, and file names are random, so your name never appears in a file name or a web address.
Changes to this notice
If this notice changes in a way that matters to you, you will be asked to read and accept the new version the next time you open the portal. The version is stamped at the top of this page and recorded with your acceptance.
